Nabo Bookings Terms & Conditions

Booking & Payments

  • Once your event contract is sent, it will remain valid for 7 days for review and signing. A 50% deposit is required within this timeframe to secure your booking and date.
  • The remaining balance (50%) must be paid no later than 7 days prior to the event. If the balance is not received, we cannot guarantee the event will proceed, and services will be revoked.

Cancellation Policy

Standard Cancellations (No Custom/Special Orders)

  • Cancellations made less than 72 hours before the event date will result in the loss of the 50% deposit, which is non-refundable and non-transferable.
  • All deposits for cancelled events (with more than 14 days notice) will be converted to a credit note, valid for 6 months from the original event date. Credit notes cannot be refunded as cash.

Custom & Special Order Cancellations

  • If a cancellation occurs less than 72 hours prior to the event, the 50% deposit is non-refundable and non-transferable.
  • If custom elements (e.g., branded products, personalised styling, signage, floral arrangements) have already been ordered or produced, the full cost of those items will be invoiced and must be paid in full.

 

Final Guest Numbers

  • Final guest numbers must be confirmed no later than 7 working days prior to the event.
  • If numbers decrease after this deadline, the original confirmed number will still be charged in full.
  • If numbers increase, Nabo & Mataya cannot guarantee accommodation, and additional charges may apply. Requests for additional guests will be assessed and quoted separately at the time.

 

Event Schedules & External Vendors

  • If the client is engaging external vendors (e.g., styling teams, DJs, florists, AV technicians, entertainment), all vendor details must be provided to Nabo & Mataya at least 7 business days prior to the event.
  • Clients are responsible for ensuring that all vendors provide a current Certificate of Currency for Public Liability Insurance (minimum $20,000,000 coverage).
  • Vendors must comply with all bump-in and bump-out schedules as specified by the venue.
  • The venue is not responsible for any external vendor delays, failures, or damages.

 

Decorations & Theming

  • The following are prohibited:
  • Candles are permitted only with prior written approval.
  • All decorations must be removed by the client unless an alternative agreement is in place.

 

Food & Beverage Policies

  • Outside food and beverages are strictly prohibited except for celebration cakes or cupcakes.
  • BYO alcohol is only permitted with prior written consent and a corkage fee per guest applies.
  • Any external alcohol brought onto the premises without written approval may result in termination of the event without refund.

 

Dietary Requirements

  • Clients must notify Nabo & Mataya of all dietary requirements no later than 7 business days prior to the event.
  • Nabo & Mataya cannot guarantee an allergen-free environment. All food is prepared in a kitchen that handles:
  • While we take all reasonable precautions, guests with severe allergies consume at their own risk.

 

Event Bond

  • security bond may be required, which will be outlined in your proposal.
  • The bond must be paid no later than 7 days before the event via a separate invoice.
  • Bonds will be refunded within 48 hours post-event, pending a final venue inspection.

Cleaning & Exit Responsibilities

For Self-Managed Bookings:

  • Clients must ensure the venue is clean, tidy, and in the same condition as received.
  • Responsibilities include:

 

Damage/Breakages

  • Nabo + Mataya reserves the right to on charge the client the cost of any replacement glassware, chinaware, signage or equipment that is damaged, destroyed or lost during an event.
  • The client shall without limitation be liable for; (a) any costs incurred by Nabo + Mataya in repairing or replacing the Equipment. (b) hire charges for the Equipment until the Equipment is repaired or replaced; and (c) any other costs whatsoever incurred, or loss suffered by Nabo + Mataya as a result of the damage to or loss of the Equipment. 

 

Responsible Service of Alcohol (RSA)

  • Nabo & Mataya reserves the right to refuse entry or service to any guest who appears intoxicated.
  • Minors must be accompanied by a legal guardian and are strictly prohibited from consuming alcohol.
  • The venue may stop alcohol service at any time and terminate the event if guests breach RSA policies.

 

Termination of Function & Booking Agreement

  • Nabo & Mataya may immediately terminate the event if:

 

Access, Exit & Security

  • In the event our security provider or after-hours locksmith needs to be called, all callout fees & any works will be liable of the client
  • Any fines or penalties issued are liable by the client
  • The client is to only use areas permitted to do so, you are not to exit out the rear door or into Mataya Eatery after hours.

 

Outstanding Accounts

  • Overdue accounts will be subject to interest at the rate of 13%p.a. (compounded daily), calculated for the period the account is due until the date it is paid.

 

Collection Costs

  • In the event where an overdue account is referred to a collection agency and/or law firm, the client will be liable for all costs which would be incurred as if the debt is collected in full, including commission on collection of the additional costs and also including legal demand costs.

 

Force Majeure

  • If Mataya Pty Ltd is unable at any time to perform any of its obligations whether wholly or partly by reason of any cause beyond its control (including without limitation, acts of God, inclement weather, strikes, lockouts, fires, riots, civil commotion or unrest, interference by civil or military authorities or act of war) Mataya Pty Ltd may give written notice to that effect to the client, giving full particulars of such force majeure in which case the obligations of Mataya Pty Ltd under these Terms shall, to the extent that they are affected by the force majeure, be suspended during the term of the force majeure. Mataya Pty Ltd shall not be liable for any loss or damage suffered by the client as a result of any delays caused by such force majeure events.

 

Acceptance of Terms

By signing the contract and paying the deposit, the client acknowledges and agrees to all terms & conditions outlined in this document.
