Mataya Catering – Terms & Conditions

Booking Confirmation

To secure your catering booking, a 50% deposit is required within 7 days of receiving your event proposal. The deposit confirms the date, time, and agreed-upon menu or service. The remaining balance is due 7 days prior to the event date. If payment is not received by this date, Mataya reserves the right to cancel the booking.

For online catering ordersfull payment is required at the time of ordering to confirm.

Cancellations & Refunds

For online orders, cancellations made at least 72 hours prior to the collection or delivery date will receive a full refund.

If less than 72 hours’ notice is given, the value of your order will be held as a credit for up to 6 months for future use.

For bespoke or custom event bookings, cancellations made:

More than 14 days prior = full refund

7–14 days prior = 50% refund or 75% credit

Less than 7 days = no refund (partial credit at our discretion)

All cancellation requests must be submitted in writing to info@mataya.net.au. Credits issued are non-transferable and non-refundable. If a rebooking is not made within the 6-month period, all retained amounts will be forfeited.

Dietary Requirements

We do our best to cater to dietary requirements. However:

Not all menu items can be modified.

Where a direct substitution is not available, we will provide a comparable savoury or sweet alternative.

We allow for 10% of the order to be modified without additional charges. If dietary requests exceed this, a surcharge may apply.

All items are packed in the same catering boxes unless otherwise requested in writing.

For life-threatening allergies, please notify us at time of booking — we will assess the risk and advise on handling.

Delivery

Delivery is available within our trading hours (7:00am – 2:30pm) unless arranged otherwise. Delivery must be confirmed with our team in advance.

Delivery Fees:

$15 for locations within 10km of Mandurah town centre

$25 for locations outside 10km

Distances beyond this are POA and may use third-party delivery services

Note: Catering is transported in sealed catering boxes but they are not insulated. Please arrange appropriate insulated storage for temperature-sensitive items if required.

Event Setup

Setup services are available upon request and include arranging platters, styling food tables, and ensuring the catering space is guest-ready. Charges vary depending on the size and complexity of the event.

Event Staffing

We provide staff (baristas, servers, etc.) only for bookings where Mataya food is being served or where our event carts are being used. Staffing rates and availability will be confirmed in your proposal.

Minimum Spend

There is no minimum spend for standard online catering orders. For custom events or off-site catering, a minimum spend of $880 applies. This amount includes food, staffing, and travel costs.

Payment Methods

Payment can be made via bank transfer or through our online payment portal.

Credit card payments incur a processing fee and are non-refundable in the event of cancellation.

Cash, onsite payments, or cheques are not accepted.

All invoices must be paid in full before the event unless otherwise agreed in writing.

Post-Event Charges

Any additional charges incurred during the event — including on-consumption items, breakages, cleaning, or overtime — will be invoiced within 3 business days post-event, or deducted from a security bond if applicable.

Price Adjustments

For events booked more than 6 months in advance, pricing may be subject to review due to market or supplier fluctuations. We’ll notify you in writing if this applies.

Final Guest Numbers

Final guest numbers must be confirmed at least 7 days prior to the event.

Reductions after this point will still be charged based on the original confirmed number.

Increases will be assessed based on availability and quoted separately.

Damage & Loss

Clients will be charged the replacement or repair cost of any catering equipment, packaging, platters, or service items that are damaged, lost, or returned in unsatisfactory condition. This includes crockery, service utensils, signage, or rented equipment.

Force Majeure

If we are unable to deliver services due to causes beyond our control (e.g. natural disasters, civil unrest), affected obligations will be suspended. Payments may be credited to a future date, and Mataya will not be liable for additional losses.

Outstanding Accounts

Overdue accounts will incur a 13% per annum interest charge, compounded daily. Any costs related to debt recovery, including legal or collection fees, are the client’s responsibility.
